Office & Business Support Administrator
Wellington | 20–30 hours per week across five days | On-site
About the role
We’re looking for an exceptionally organised administrator who loves knowing how things work, making things happen, and helping others.
This is a varied, hands-on role at the heart of Redvespa. You’ll keep our Wellington office running smoothly, coordinate events and travel, support our people with the everyday systems they use, and make sure the regular tasks behind the scenes are organised, accurate, and completed on time.
You’ll also play a big part in creating the Redvespa experience for our people, clients, and visitors — thoughtful, organised, welcoming, and genuinely cared for.
You don’t need to be an IT specialist. You do need to be confident with technology, quick to learn new systems, good at remembering or documenting how things work, and comfortable figuring things out.
What you’ll be doing
Keeping our Wellington office welcoming, organised, well stocked, and running smoothly
Coordinating travel, events, suppliers, catering, and everyday business administration
Helping create great experiences for new starters, leavers, birthdays, and other moments that matter
Supporting our people with everyday systems and tools, including setting up accounts, access, and licences
Being the first point of contact for straightforward system or device issues and coordinating specialist help when needed
Keeping information, records, shared spaces, and practical guides organised and up to date
Managing technology assets and other operational registers
Spotting repetitive or clunky processes and helping us find simpler ways of doing things
Making sure regular tasks are followed through and nothing important falls through the cracks
What you’ll bring
You may have worked as an Executive Assistant, Personal Assistant, Office Manager, Administrator, Team Coordinator, or in another busy business support role. More important than your job title is how you work.
Highly organised, proactive, and great at keeping track of lots of different things
Quick to pick up new systems, remember how things are done, and follow tasks through to completion
Warm, approachable, and someone who genuinely enjoys looking after people and creating a welcoming environment
Confident using technology and comfortable helping others with everyday systems and tools
Strong attention to detail, sound judgement, and confidence handling confidential information
* Experience with Google Workspace or similar business tools would be useful, but you don’t need to be an IT specialist — we can teach you our systems
