Ready Mix- Dispatcher

Position Summary

The Ready Mix Dispatcher is responsible for coordinating and scheduling ready-mix concrete deliveries in a fast-paced, high-demand environment. This role serves as the operational hub between customers, plant personnel, drivers, sales, and management balancing customer needs, plant capacity, driver availability, and changing jobsite conditions to ensure safe, timely, and efficient deliveries. The ideal candidate has strong transportation, logistics, or dispatch experience and can perform under pressure while maintaining exceptional customer service and operational efficiency.

Key Responsibilities

Dispatch & Scheduling

Schedule and dispatch ready-mix concrete trucks based on customer orders, plant production capacity, and driver availability.

Adjust delivery schedules in real time in response to weather, jobsite delays, cancellations, equipment issues, or production changes.

Prioritize loads to maximize fleet utilization, plant efficiency, and on-time delivery performance.

Monitor truck locations using dispatch software and GPS systems to provide accurate delivery updates and estimated arrival times.

Coordinate daily production schedules with Plant Managers, batch operators, and drivers.

Ensure all customer orders received are scheduled and fulfilled whenever possible.

Maintain radio and telephone communication with drivers throughout the workday to provide routing guidance and operational support.

Customer Communication & Service

Serve as the primary point of contact for customers regarding order placement, delivery schedules, pricing, and order changes.

Communicate professionally with contractors, project managers, and site supervisors in high-pressure situations.

Build and maintain strong customer relationships to encourage repeat business and customer satisfaction.

Proactively contact key customers when ordering patterns change to better understand future project needs and demand.

Prepare and issue customer quotations within established pricing guidelines and coordinate special pricing requests with management.

Assist in resolving customer concerns regarding product delivery, service, and scheduling.

Internal Coordination

Collaborate closely with Plant Managers, quality control personnel, sales staff, and management to coordinate daily operations.

Monitor plant status, maintenance activities, and production delays to adjust dispatch schedules accordingly.

Coordinate with drivers regarding routes, load details, jobsite conditions, and schedule updates.

Communicate operational issues, customer concerns, and capacity constraints to management in a timely manner.

Coordinate with billing staff regarding COD orders, credit card payments, and customer account issues.

Systems & Data Management

Utilize dispatch software such as ConcreteGo, Istrada, Command Alkon, or similar systems to enter, schedule, monitor, and modify customer orders.

Monitor truck movements and dispatch activities through GPS and dispatch software.

Prepare ready-mix delivery tickets and verify all driver tickets are completed accurately and submitted daily.

Maintain accurate records of customer orders, deliveries, delays, dispatch activity, and operational issues.

Complete required daily, weekly, monthly, and annual operational reports.

Operational Awareness

Develop a working knowledge of ready-mix concrete products, mix designs, aggregates, sand, gravel, and batching operations.

Understand customer ordering trends, regional geography, and construction project schedules to improve dispatch decisions.

Calculate concrete quantities and assist customers in determining estimated cubic yard requirements when needed.

Support continuous improvement initiatives that increase dispatch efficiency, reduce downtime, and improve customer satisfaction.

Assist with batching operations and plant activities when operational needs require.

Safety & Compliance

Promote a positive safety culture while ensuring compliance with OSHA, DOT, company safety policies, and regulatory requirements.

Report workplace incidents, accidents, near misses, and safety concerns to management promptly.

Participate in and support weekly safety meetings and safety initiatives.

Ensure compliance with company drug and alcohol policies and DOT Hours of Service requirements.

Coordinate with regulatory agencies, including MODOT, when required.

Driver & Team Coordination

Supervise and coordinate daily activities of ready-mix drivers.

Provide guidance and direction to drivers regarding deliveries, routes, and customer expectations.

Assist with onboarding and training of new drivers and dispatch personnel.

Assign alternative work during slow production periods when appropriate.

Promote teamwork, accountability, and professional communication among drivers and plant personnel.

Required Qualifications

Minimum of five (5) years of experience in one or more of the following:

• Transportation or truck dispatch
• Logistics or fleet management
• Construction, ready-mix concrete, aggregates, asphalt, or building materials
• Experience working in a high-volume, time-sensitive dispatch or coordination environment.
• Strong verbal communication skills with excellent customer service and phone etiquette.
• Ability to multitask, prioritize competing demands, and make sound decisions under pressure.
• Experience using dispatch software, GPS systems, ERP systems, and Microsoft Office applications.
• Ability to read maps, interpret routes, and understand geographic service areas.
• High school diploma or equivalent.
• Preferred Qualifications
• Previous Ready Mix Dispatcher experience.
• Experience with ConcreteGo, Istrada, Command Alkon, or similar dispatch platforms.
• Knowledge of ready-mix concrete production, batching, and construction operations.
• Experience coordinating multiple drivers and vehicles across local or regional service areas.
• Proven ability to build and maintain long-term customer relationships.
