About the role

We have an exciting opportunity for you to join the University of Oxford as an Apprentice Clinical Trials Receptionist and Administrator in the Paediatrics Department

You will work as an Apprentice Clinical Trials Receptionist and Administrator. You will be required to complete an 18 month training programme that will cover all aspects of the role and will be delivered through in-house training, as well as day-release or other distance learning methods delivered by Abingdon & Witney College. You will complete an Level 3 Business Administrator Apprenticeship which is within the (Business and Administration) sector and you will gain a Level 3 Business Administrator Apprenticeship standard qualification.

College attendance and successful completion of these studies is an essential requirement of this Apprenticeship.

The Apprentice Clinical Trials Receptionist and Administrator is the first point of contact for phone calls, emails and visitors coming into the Oxford Vaccine Group (OVG). They deal with enquiries and requests from members of the public, study participants, employees and staff over the phone, email, and face-to-face. They assist in managing visit bookings with study participants, maintaining study visit calendars, and supporting colleagues in the administration of clinical trials.

They have responsibility for elements of the day-to-day functioning of the building: e.g. management of incoming and outgoing post, maintaining information on databases, collating requests for repairs, forwarding of appropriate information throughout the group. They provide administrative/secretarial support to OVG including data entry, minutes of the team meeting, ordering stock, maintaining the Buddy System and acting as Display Screen Equipment (DSE) Assessor. This role requires adaptability, a can-do approach and a high level of attention to detail.

Please note, whilst we endeavour to support flexible working, this is an in-office role due to the requirements of the post. Training will be provided for Good Clinical Practice (GCP) qualification and in order to book appointments for children and families.

About the apprenticeship

As part of this role, you will undertake an Apprenticeship with Abingdon & Witney College, where you will complete a Level 3 Business Administrator Apprenticeship.

For this apprenticeship, you will work at the Oxford Vaccine Group (OVG) within the Paediatrics Department at the Churchill Hospital site. As part of your apprenticeship, you will be required to attend Abingdon & Witney College. During your apprenticeship, you will need to attend Abingdon & Witney College up to 1 day a week.

In total, it will take 18 months to complete all elements of the apprenticeship, with support from the Department, University, and Training Provider throughout.

About you

To complete the level 3 apprenticeship, you will need to have completed English and Maths grade 4 or above, or equivalent.

Regardless of your prior qualifications Abingdon & Witney College will require you to complete a short initial assessment during the application process. There are also government residency requirements for Apprenticeship funding which the Training Provider will be able to advise on.
