Personal Assistant
Job Description
This is a fast-paced and varied role requiring exceptional organisational skills, strong attention to detail, and the ability to manage multiple priorities simultaneously. The successful candidate will play a key role in ensuring the smooth day-to-day running of the Directors' schedules while acting as a trusted point of contact both internally and externally.
A leading UK construction business is seeking an experienced and proactive Personal Assistant to provide dedicated support to two company Directors.
Candidates with previous experience supporting senior leaders within construction, property, engineering, architecture, infrastructure or related industries will be particularly well suited to this position.
Key Responsibilities
Extensive diary and calendar management for two Directors
Coordinating internal and external meetings across multiple stakeholders
Managing travel arrangements, accommodation and detailed itineraries
Preparing meeting packs, presentations and supporting documentation
Screening and managing incoming calls, emails and correspondence
Taking meeting notes and tracking actions where required
Assisting with bid submissions, project documentation and business reporting
Liaising with clients, consultants, contractors and suppliers on behalf of the Directors
Managing expenses, invoices and general administrative processes
Supporting company events, team meetings and client functions
Maintaining accurate records, files and confidential information
Providing wider executive support as business needs require
Skills & Experience
Previous experience in a Personal Assistant, Executive Assistant or Senior Administrative position
Experience supporting senior executives, directors or board-level stakeholders
Exposure to the construction, property, engineering or infrastructure sectors is highly desirable
Strong Microsoft Office skills, particularly Outlook, PowerPoint, Word and Excel
Excellent written and verbal communication skills
Ability to manage conflicting priorities and work under pressure
Highly organised with exceptional attention to detail
Professional, discreet and confident when dealing with confidential information
Proactive approach with the ability to anticipate needs and solve problems independently
