Job Description

We are seeking a detail-oriented and customer-focused Accounting & Administrative Assistant to support our accounting and administrative operations. This key role combines Accounts Payable, Accounts Receivable support, front desk/receptionist support, and works closely with the Accounting Manager, Sales, Service, and Administrative Teams.

**Supervisory Responsibilities:** *None.*

**Duties/Responsibilities:**

  • Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Perform data entry and maintain accurate financial records using QuickBooks and other accounting software
  • Support bookkeeping activities such as expense tracking, vendor payments, onboarding new clients and vendors.
  • Organize and file documents efficiently, ensuring easy retrieval of records for audits or reports
  • Assist with calendar management, appointment scheduling, and coordinating meetings for team members
  • Provide excellent customer support by addressing inquiries promptly and courteously
  • Handle clerical tasks such as proofreading documents, managing correspondence, and maintaining office supplies
  • Support office management tasks including organizing files, managing Google Workspace tools, and overseeing general administrative functions

**Required Skills/Abilities:**

  • Accounts Payable experience required.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks or similar bookkeeping software is highly desirable
  • Excellent typing skills combined with strong data entry abilities
  • Bilingual capabilities to serve diverse clients and team members effectively are a plus, but not required
  • Prior clerical or administrative experience in a professional setting preferred
  • Knowledge of multi-line phone systems, phone etiquette, and customer service best practices
  • Strong computer literacy with the ability to adapt quickly to new software tool
  • Ability to manage time effectively while handling multiple priorities in a fast-moving environment.

**Education and Experience:**

  • High school diploma or equivalent.
  • At least two years’ related experience required.

**Physical Requirements:**

  • Prolonged periods of sitting at a desk and working on a computer.
