Customer Sales & Order Coordinator – Healthcare

Christchurch based (Supporting our Australian customers)

$65,000–$70,000 p.a. pro rata | 6-month fixed term (may extend)

We're looking for a Customer Sales & Order Coordinator to join Phoenix Healthcare Group in Christchurch, supporting the growing consumables business of our Australian company, Health N Home. This isn't simply an order-entry or administration role.

You'll be the person who takes a customer enquiry and owns it from beginning to end — understanding what they need, preparing the quote, following it up, converting it into an order, coordinating supply and delivery, and building the relationship that brings the customer back again. We're looking for someone with a genuine sales mindset and a completer-finisher personality.

If a quote is sitting unanswered, you'll follow it up. If a supplier hasn't confirmed delivery, you'll chase it. If something has gone wrong, you'll want to know why and get it sorted.

You don't wait for things to happen. You make them happen! Based in New Zealand, caretaking Australia. Your desk will be in Christchurch at our Head Office, but your customers, colleagues, suppliers and day-to-day relationships will be across Australia.

We want our Australian customers to feel they're dealing directly with Health N Home — not an offshore support desk. You'll build genuine relationships with people you may never meet face-to-face, so being confident on the phone, warm in your communication and genuinely interested in people is essential.

You'll also need to be culturally aware and adaptable. Our customers come from diverse communities and may include older Australians, people living with disability, people managing health conditions, carers and family members. That means listening well, communicating respectfully, avoiding assumptions and adapting your approach to the person you're speaking with. Over time, you'll develop a strong understanding of Australian locations, time zones, suppliers, terminology and customer expectations.

What you'll own

You'll manage the customer journey from

Enquiry → Quote → Sale → Supply → Delivery → Invoice → Payment → Repeat Business

Your responsibilities will include

  • Responding to customer enquiries by phone and email
  • Building strong, trusted relationships with existing and prospective customers
  • Preparing accurate quotations using approved pricing
  • Proactively following up quotations and converting opportunities into confirmed sales
  • Maintaining regular customer contact to encourage repeat ordering
  • Identifying appropriate cross-sell and new-business opportunities
  • Managing confirmed orders through to successful delivery
  • Sourcing products through approved suppliers
  • Coordinating purchase orders, stock availability, lead times and freight
  • Following up suppliers and logistics providers to keep orders moving
  • Keeping customers informed when availability or delivery dates change
  • Resolving supply or delivery problems and escalating issues early when necessary
  • Monitoring Delivery In Full, On Time and In Specification (DIFOTIS)
  • Ensuring invoices are accurate and issued at the appropriate time
  • Following up outstanding payments and helping resolve routine discrepancies
  • Maintaining accurate customer, quotation and order information across our systems
  • Developing strong knowledge of our consumables range and approved product alternatives
  • You'll work closely with Health N Home nurses, our Australian operations team, suppliers, logistics providers and finance.
  • The minimum skills you'll need
  • We're looking for someone who can step into a busy commercial environment and contribute quickly.
  • To be considered, you'll need:
  • At least 2 years' experience in customer service, sales support, account coordination, internal sales, order management, procurement or a similar commercial role
  • Demonstrated experience dealing directly with customers by phone and email
  • Experience working with quotes, orders, pricing, purchase orders and/or invoices
  • Confidence proactively following up customers and asking for the sale
  • Strong computer skills and the ability to learn multiple systems quickly
  • Strong written and verbal communication skills
  • High attention to detail, particularly with numbers, pricing and product information
  • Strong organisational skills and the ability to manage multiple open orders, enquiries and actions
  • Evidence that you can independently follow work through to completion
  • Full New Zealand working rights for the duration of the fixed-term role
  • Experience in healthcare, medical consumables, disability, aged care, pharmacy, FMCG, wholesale, distribution or supply chain would be an advantage, but isn't essential.
  • The person we're really looking for
  • Product knowledge and systems can be taught. Ownership, drive and follow-through are much harder to teach.
